OFFICE SUPPORT ASSISTANT

We are looking for a competent Office Support Assistant to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.
You will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The ideal candidate will show initiative, will be competent in prioritizing, will be self-motivated and trustworthy. Overall the Office Assistant ensures smooth running of our company’s offices and contributes in driving sustainable growth.
Responsibilities:
· Organizing the office and assisting associates to optimize processes
· Sorting and distributing communications in a timely manner
· Using "back-office" computer systems (ERP software) Coordinating office activities and operations to secure efficiency and compliance to company policies
· Keep stock of office supplies and place orders when necessary
· Answering inbound calls
· Provide above average customer service to both internal and external customers
· Liaison with internal departments to ensure the smooth transition of the customer’s orders and requests
· Accurately input data entry information into system
· Resolve product or service problems by selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution
· Identify and assess customers’ needs to achieve satisfaction
· Go the extra mile to engage customers
· Place or cancel customer orders
· Create and update records ensuring accuracy and validity of information
· Coordinate with other departments to ensure compliance with established policies
· Manage phone calls and correspondence (e-mail, letters, packages etc.)
· Support administrative and accounting departments as required
Requirements:
· Proven experience as an office administrator, office assistant, customer service representative or relevant role
· Outstanding communication and interpersonal abilities
· Excellent organizational and leadership skills
· Familiarity with office management procedures and basic accounting principles
· Excellent knowledge of MS Office and office management software (ERP etc.)
· Analytical abilities and aptitude in problem-solving
· Possess an extremely positive attitude
