AUTOMOTIVE SERVICE ADVISOR

Our Kelowna Automotive client, is looking to add a Service Advisor/Writer as part of their front-line staff. This position is responsible for ensuring that all customers are provided with top-notch customer service, consultation and explanation of required vehicle services and tire requirements.

Listening to the customer’s needs and taking notes providing detailed work orders for the techs to diagnose issues.

The main obligation for this of this position is to keep the Automotive tech moving on task working on the cars. Support the techs with proper work orders and parts support. The primary job will be working with the customer and the tech through their journey from booking them in, repairing their car, contact with customer and parts stores as the job progresses. Update quotes, making sure Tech has the proper parts and tools to complete the job. Work with Techs and Managers to make the processes to increase workflow.

Responsibilities:

  • Customer Service – ensure that all customers are greeted and welcomed to our shop, offering assistance and information when/if required.

  • Handle any customer complaints and disputes in a professional manner

  • Pricing/Quotations – responsible for handling sales, providing competitive quotes on work, negotiating, writing up invoices, and Job costing

  • Scheduling – coordinate all scheduling of mechanical work and repairs

  • Invoicing – responsible for ensuring that all invoicing is accounted for and appropriate monies have been collected/processed

  • Cash – handle all payment related transactions and ensure that till balances at day end

  • Front Area – responsible for visual presentation of the front showroom area, making sure that current product is displayed and necessary cleaning/dusting of items

  • Able to work independently as well as part of a team

  • Work in partnership with other service writers and shop manager to bring work in and out of the building in a timely manner.

  • Check emails and text messages regularly throughout the day and make sure to reply and schedule jobs and/or fwd them to the managers and owner as required.

  • Order parts and tires

  • Receive parts and tires

  • Inventory control

  • Answering the phone in a professional and respectable way, and take messages as required relaying them as needed

  • Drive vehicles on and off of the hoist as required.

  • Make sure parts and tires are pulled for techs and tire techs to maintain work flow in the shop

Requirements:

  • 1 – 3 years previous experience in the automotive trade specifically relating to job customer service, sales, invoicing, scheduling, is an asset.

  • A great personality and the ability to greet with confidence and a smile.

  • Strong interpersonal skills, including the ability to earn credibility and build strong relationships that will serve as an enabler in achieving a profitable business operation.

  • Excellent written and verbal communication skills, ability to communicate confidently.

  • Highly organized, attentive to details and strong analytical skills.

  • Ability to work well under pressure in a fast paced, ever changing high-volume environment.

  • Physically capable of lifting and moving items up to +50lbs.

  • Current, valid drivers license.
