ADMIN ASSISTANT/OFFICE MANAGER (Maternity Leave Contract)

Our Kelowna Client, a vibrant, well respected, architectural firm is looking to hire an Administrative Assistant or Office Manager for a 12 month Maternity Contract.

The successful candidate will have excellent client service skills, assist team members in managing project schedules and offer administrative support.

They are searching for a perceptive, creative administrative manager to oversee office operations and administrative duties. The Administrative Manager ensure the office operates smoothly and efficiently. You should be analytical, knowledgeable, and organized with a proactive attitude and strong leadership skills.

Responsibilities:

· Overseeing the day-to-day operations of the administrative department

· Developing, reviewing, and improving administrative systems, policies, and procedures.

· Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained.

· Planning, scheduling, and promoting office events, including meetings, conferences, orientations, and training sessions.

· Collecting, organizing, and storing information using computers and filing systems.

· Overseeing special projects and tracking progress towards company goals.

· Assist in the onboarding process for new hires

· Co-manage the social media platforms and assist in developing the company’s online presence.

· Assist the Administration Manager with various bookkeeping and administrative tasks

· Reception: greet walk in traffic, answer phones, maintain professional appearance of physical office space

Requirements:

· 2+ years’ experience in a related field, such as management or administration.

· Exceptional leadership and time, task, and resource management skills.

· Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills.

· Proficiency with computers, especially MS Office.

· Ability to plan for and keep track of multiple projects and deadlines.

· Social media and website management – Instagram, LinkedIn and Wix platform (Is an asset but not required).
